1. Who we are
Collabor8 helps university students in the UK find people to build projects and startups with. It is an initiative by Bath Entrepreneurs.
The service is run by [Legal entity name] ("we"), [Registered address]. ICO registration: [ICO registration number].
2. What we collect
- Your account: your email address and how you sign in (email and password, or Google). Passwords are handled by our hosting platform; we never see them.
- Your profile: name, photo, headline, university, course, graduation year, city and country, bio, skills, interests, what you are looking for, what you are open to, work experience and projects. You choose what to fill in.
- A contact email: the address other members receive when you send or accept a collaboration request. It can be different from your sign-in email.
- Your CV, if you upload one: a PDF, PNG or JPG kept in private storage, and the profile fields we read from it.
- Event registrations: which events you booked, joined the waitlist for or cancelled, and when.
- Collaboration requests: who wrote to whom, the reason and the short message (up to 300 characters), the status and dates, and the match reasons shown to you.
- Notifications and settings: the notifications we show you and your choices about emails, being discoverable and showing your online status.
- Online status: only if you switch it on, the time you were last active.
- Usage statistics from our hosting platform: Base44 records basic usage events (for example that a page was opened) and keeps a session identifier in your browser (base44_analytics_session_id). This starts when you open the site, before you answer the cookie banner, and the banner does not control it. [Owner to confirm: switch these hosting-platform usage events off, or keep them and describe exactly what they contain here]
- Usage statistics from Google Analytics: only if you accept analytics cookies, the pages you visit (the address of the page, never member or request ids) and basic device information. We never put your name or email address in them.
- Technical data: our hosting platform keeps logs, such as your IP address and the time of requests, to run and secure the service.
3. How we use it
- To run Collabor8: show your published profile to other members, suggest people and events that fit you and explain why, and let you send and answer collaboration requests.
- To email you about things you did or that need you: a request sent to you or answered, an event booking, an event reminder. Weekly digest emails are switched off and are not sent today.
- To fill in your draft profile from your CV, if you choose to upload one.
- To keep people safe: limits on how many requests a person can send, blocking, reports, and a review by administrators when needed.
- To understand how the service is used: through the basic usage events of our hosting platform, and through Google Analytics only if you accept analytics cookies.
We do not sell your personal data.
4. Who can see it
- Other signed-in members can see your published profile in Networks: your name, photo, headline, university, course, location, bio, skills, interests, experience and projects. They cannot see your contact email, your CV or the exact time you were last active.
- You can hide your profile from Networks in Settings.
- When you send a request, the person you wrote to can see your contact email in that request. When you accept a request, the person who sent it receives your current contact email.
- Visitors who are not signed in see public events only (title, date, place and numbers such as how many people are going). They do not see member profiles or photos.
- Collabor8 administrators can access data to run, secure and support the service.
5. Who we share it with
These companies process data for us. We do not give member data to advertisers or data brokers.
- Base44 is our hosting platform. It stores the database and uploaded files, runs sign-in and our backend code. Its servers are in the United States.
- An AI language model provider, used through our hosting platform, reads the text of an uploaded CV to fill in your draft profile. CVs can contain phone numbers and addresses. We ask the model to ignore them, but please check what was filled in. [Name of the AI provider: to be confirmed]
- The email service of our hosting platform sends the emails described above. [Sending domain and provider: to be confirmed]
- Google, if you sign in with Google (it tells us your name and email address) and, only if you accept analytics cookies, Google Analytics.
Because our hosting is in the United States, your data leaves the UK. [Safeguards for these transfers: to be confirmed by legal review]
6. How long we keep it
- Your account and profile stay while your account is active.
- You can delete your account in Settings. We then remove your profile details and your CV file and clear the personal details kept from the old version of Collabor8; an administrator completes the permanent erasure. [Timing of the final erasure: to be confirmed]
- Requests that get no reply expire after 30 days. We may keep expired and answered requests for a limited time to prevent abuse. [Retention period: to be confirmed]
- Logs and backups: [retention period to be confirmed]
7. Your rights
Under UK data protection law you can ask us to give you a copy of your data, correct it, erase it, restrict how we use it, move it to another service, or stop using it for something you object to. You can withdraw consent at any time, for example by switching off emails in Settings or by choosing Cookie settings in the footer and rejecting analytics.
To use a right, write to the address below. [How quickly we answer: to be confirmed] If you are not happy with our answer you can complain to the Information Commissioner's Office (ico.org.uk).

8. Cookies and analytics
Collabor8 stores a few small things in your browser. These are needed or are your own settings: your sign-in session, your analytics choice (c8.consent), your motion and effects preference (c8.fx) and a note of how well effects run on your device.
One more is not controlled by the cookie banner: our hosting platform (Base44) keeps a session identifier (base44_analytics_session_id) and sends basic usage events to its own servers while you use the site, whether or not you answered the banner. [Owner to confirm: switch these off, or keep them and say so here]
The banner controls Google Analytics 4 only. It loads only after you press Accept; if you press Reject non-essential it stays off. You can change or withdraw your choice at any time with Cookie settings (in the footer of every page, and below): the banner shows again and Google Analytics stays paused until you choose.
9. Age
Collabor8 is for people aged 18 or over. If you think someone younger has an account, tell us and we will look into it.
10. Changes and contact
We will change this page when something about how we handle data changes, and show the date at the top. Last updated: 17 October 2026 (draft).
